Privacy Policy

1. Who we are

This policy explains how Nella Finance AI Ltd ("Nella", "we", "us") collects and uses your personal data. We are the data controller. We are registered in England & Wales (company number 17336736), registered office 124-128 City Road, London, England, EC1V 2NX. For any privacy question, contact hello@nellafinance.co.uk.

2. What this policy covers

It covers personal data we handle when you use the Nella website, start a trial, or use the Nella service. Where you also take regulated accounting or advisory services, those are provided by our partner practice, AccTek Ltd, under its own terms and privacy notice.

3. The information we collect

We collect: (a) information you give us — your name, email, company and any message when you contact us or sign up; (b) financial information from the accounting software you connect — read-only access to your Xero, QuickBooks, Sage or FreeAgent data so Nella can answer questions and build your packs; and (c) technical and usage data — how you interact with the service, and cookies (see section 9).

4. How we use it, and our lawful bases

We use your data to provide and operate Nella (to perform our contract with you); to secure, maintain and improve the service (our legitimate interests); to send you service and, where you have agreed, marketing messages (consent, which you can withdraw at any time); and to meet our legal and regulatory obligations.

5. Your connected accounting data

Nella connects to your accounting software in read-only mode. We can read your figures to answer your questions and produce your management pack, but we never write to or change your books. You can disconnect at any time, which immediately ends our access.

6. Conversation memory

As you use Nella — in the client portal, on WhatsApp, or through any other channel we offer — Nella keeps a short set of notes about durable things you tell us, such as your business circumstances, your plans, or how you prefer to be contacted, so it can give more relevant answers without you repeating yourself. We do not store your financial figures this way; those are drawn live from your accounting software each time. You have a single set of notes across all channels — something you mention on one channel may inform Nella’s answers on another — but we do not share the content of your conversations between channels. When you first sign in to the portal we tell you Nella keeps these notes; you can see everything Nella has noted, remove any or all of it, and turn note-taking off at any time in your settings. Removing a note means Nella stops using it; turning note-taking off stops new notes while those already saved remain until you remove them or they are deleted under our retention policy. We rely on our legitimate interests in providing a continuous, useful service, balanced by these controls and the short retention period below; you may object at any time using the off switch and removal controls.

7. Who we share it with

We do not sell your personal data. We share it only with service providers who help us run Nella under contract — including our hosting provider, our CRM (HubSpot), our payments provider (Stripe) and our analytics provider — and, where you engage them, our partner accountancy practice AccTek Ltd. We may also disclose data where required by law.

8. International transfers

Where a provider processes data outside the UK, we ensure an appropriate safeguard is in place (such as a UK adequacy decision or the UK International Data Transfer Agreement).

9. How long we keep it

We keep personal data only as long as needed for the purposes above and to meet legal or accounting requirements. In particular, your Nella conversation memory is deleted automatically 6 months after it is created, and chat transcripts are kept for 12 months. Your financial figures are not stored as memory — they are read live each time. After the applicable period, data is deleted or anonymised.

10. Cookies

We use cookies and similar technologies to run the site and understand usage. You can accept, reject or manage non-essential cookies through the consent banner and cookie settings on our website.

11. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to the processing of your personal data, to data portability, and to withdraw consent where we rely on it. To exercise a right, email hello@nellafinance.co.uk. You can also complain to the Information Commissioner's Office (ico.org.uk), though we ask that you contact us first so we can help.

12. Changes

We may update this policy from time to time; material changes will be notified. The date at the top shows when it was last updated.
